Our offices are based in the Gold Coast and Adelaide with operations in Victoria and Western Australia. 

About The Role

We are seeking one energetic and experienced part-time project administrator to be based at our Adelaide office. This position will be part of a shared role with another project administrator we are recruiting for at our Gold Coast office. This position requires three full days per week or FTE equivalent number of hours (24 per week) with one overlapping day (i.e. Mon-Wed, Wed-Fri). Both project administrators will work closely together and will be reporting directly to the General Manager Australia. 

As an administrator, you will be responsible for project setup, report and presentation material preparation and brandings, taking meeting minutes, project invoicing, and close-out. You will also assist with documentation and database management, meeting scheduling, and making travel arrangements. You will work closely with project managers to ensure project tasks meet quality standards and are completed on time.

You will be responsible for office administration tasks including ordering supplies, setting up equipment for new starters, approving supplier invoices, facilitating audits, organising activities, and coordinating meetings. The role also provides support to the Finance Officer.

A project administrator is essential for the effective execution and management of projects. By handling administrative tasks, supporting project teams, and ensuring clear communication, they contribute significantly to the success of projects. The role requires a blend of organisational, technical, and people skills, along with relevant education and experience.

About You

We are seeking an enthusiastic administrator with strong attention to detail, superior organisational skills, as well as capable and confident in working with tight deadlines and highly responsive. You will collaborate with teams across Australia, providing support to consultants and projects, so excellent interpersonal, communication, and collaboration skills are essential. We highly value a proactive and resourceful approach.

To be successful in this position, you should have:

  • Certificate in Business Administration or other relevant qualifications.
  • Experience as a Project Support Officer, Project Administrator, or similar role.
  • Experience working with project-based Enterprise Resourcing Planning (ERP) software for professional services.
  • Proven ability in managing project administrative and reporting functions.
  • Ability to manage project invoicing.
  • Strong computer skills and intermediate to advanced proficiency with Microsoft Office 365 applications.
  • Strong organisation, attention to detail, and time-management skills.
  • Ability to build strong interpersonal relationships with project managers and stakeholders.
  • High level of initiative, willingness to learn, and adaptability to new work practices, systems, and procedures.
  • Ability to work both independently and in a team environment.
  • Problem-solving skills to address project-related issues.

Highly regarded skills and attributes, or the ability to gain:

  • Experience in quality assurance and Project Management systems.
  • Experience in SharePoint and CoPilot.
