About the role
Based in our Burleigh Heads office, reporting to the Commercial Manager, the role is responsible for all aspects of support services for a small team of consultants across all states and projects. This is a diverse role that incorporates aspects of project administration / management, finance, systems and IT.
About you
You are a systems-oriented person with excellent book-keeping skills and experienced with project administration. You have great organisational and people skills, proficient in working with tight deadlines and are a highly responsive team player.
Key Responsibilities
- Finance – assist the Commercial Manager with accounts payable, accounts receivable and payroll tasks.
- Project administration – responsibility for project setup, report and presentation preparation and branding, monthly billings, reporting, assist with documentation and database management, and making travel arrangements. You will work closely with project managers to ensure project tasks are completed on time and meet quality standards.
- Office administration – administrative support for all office and non-scientific tasks, coordinating meetings, office supplies. This requires attendance at the Burleigh Heads office 3 to 4 days per week.
- Integrated Management System: Environment, Quality and Safety – coordinate ongoing accreditation for ISOs 9001, 14001 and 45001 including documentation, monitoring, inspections and internal audits. Stream-lining the existing system.
- HR – assist the Commercial Manager with general administrative HR tasks.
- IT – liaise with our external IT consultant managing the company’s IT needs, coordinate security and distribution of equipment and device management.
Requirements
- Certificate in Business Administration or Bookkeeping or other relevant qualifications.
- Proven experience in finance, specifically accounts payable, accounts receivable and payroll.
- Experience as a Project Administrator working with project-based Enterprise Resourcing Planning software for professional services.
- Experience with Integrated Management Systems.
- General exposure to IT administrative tasks.
- Proven intermediate to advanced proficiency with Microsoft Office 365 applications, specifically Word, Excel and Outlook.
- Experience using Sharepoint.
- Strong organisational, detailed, and time-management skills.
- Good problem-solving skills.
- Highly regarded is experience with office AI applications or the ability to rapidly gain experience.
